Notifications
InLoox notifications about changes in projects are sent centrally via the server. This applies to all InLoox editions.
You can customize the following settings:
- Enable or disable notifications about changes in InLoox projects
- Change the custom logo for the email template (not for InLoox Professional)
- Set the default notification frequency for the entire account
- Set notification frequency at the user level
- Send a test notification email
- Disable notifications for external contacts
Disable notifications about changes in specific areas
In your personal InLoox settings, you can enable and disable notifications about changes in different areas. By default, all notifications are enabled.
- In InLoox Web App, click on your profile picture in the upper-right corner.
- Click on Account Settings.
- Click on Personal.
- Under Which notifications should we send you?, deactivate the slider for the areas you no longer want to receive notifications for.
InLoox saves the change automatically.
If you have activated notifications under Which notifications should we send you? but set the frequency to Never, the "Never" frequency takes priority and you will not receive any notifications.

The person who makes a change does not receive a notification about that change.
Customize the header of notification emails
You can upload an image for the email header:
- In InLoox Web App, click on your profile picture in the upper-right corner.
- Click Account Settings.
- Click Notifications.
- Under Customization header image for templates, upload a PNG file (600×117px).
This feature is only available in the InLoox Enterprise and InLoox Self-Hosted editions.
Adjust the frequency of InLoox notifications
By default, InLoox sends notifications immediately after changes are made. As an admin, you can customize the default for the entire account:
- In InLoox Web App, click on your profile picture in the upper-right corner.
- Click on Account Settings.
- Click on Notifications.
- Under Frequency (Default), set the frequency.
Every InLoox user can personally override this default. The user setting takes priority over the account default:
- In InLoox Web App, click on your profile picture in the upper-right corner.
- Click on Account Settings.
- Click on Personal.
- Under Notifications, select the frequency.
Some notifications are set by default and their frequency cannot be adjusted:
- Tasks starting today and tasks due today — one-time notification every morning at 6 AM.
- Overdue tasks — notification every hour.
- Administrative notifications (e.g., user invitations) — always sent immediately.
Send a test notification
- In InLoox Web App, click on your profile image and go to the InLoox Settings.
- Under Personal, go to Send test notification and click Send test notification.
- Check your inbox (and spam folder) for the InLoox notification email.
Troubleshooting:
- Check your spam folder.
- Contact your InLoox admin to verify the notification configuration.
- Check the correct configuration of your SMTP setup.
- If no errors are found, contact InLoox Support by sending a ticket.
Disable notifications for external contacts
You can deactivate notifications for people listed as contacts who do not have an InLoox login:
- In InLoox Web App, click on your profile picture in the upper-right corner.
- Click on Account Settings.
- Click on Notifications.
- Under Notification to external contacts, disable the slider.
InLoox Notification Center in InLoox Web App
The bell icon next to your profile picture shows the number of unread notifications. Click the bell icon to open the Notification Center where you can:
- Read your notifications
- Mark notifications as read
- Open the related project, task, document, or other item directly
You will continue to receive email notifications for tasks that are due today. These emails are sent around 6 AM on days when tasks are due.
